When an agent sends you a property, that property goes into your Agent Inventory pipeline. This is your deal tracker — where you manage every property from the moment it comes in until the deal closes.
How the Deal Pipeline Works
The Agent Inventory pipeline is separate from your Agent Outreach pipeline. Here’s the difference:
- Agent Outreach Pipeline → Tracks your relationships with agents
- Agent Inventory Pipeline → Tracks the properties (deals) those agents bring you
Think of it this way: the Outreach pipeline is about people (agents). The Inventory pipeline is about properties (deals).
When an Agent Submits a Property
Here’s what happens:
- An agent tells the AI about a property (sends the address, details, etc.)
- The AI captures the property information
- A new opportunity is created in the Agent Inventory pipeline
- You get notified that a new property came in
- You research the property, run comps, and decide whether to make an offer
Understanding Each Stage
PROPERTY SUBMITTED
What it means: A property just came in from an agent.
Your role:
- Review the property details (address, condition, seller situation)
- Look up the property online (Zillow, county records, etc.)
- Run comps to estimate the property’s value
- Decide if it’s worth pursuing
COMPING / RESEARCH
What it means: You’re actively researching this property.
Your role:
- Run comparable sales (comps) for the area
- Estimate the After Repair Value (ARV)
- Estimate repair costs
- Calculate your offer price using your formula
- If the numbers work → move to Offer stage
- If the numbers don’t work → let the agent know and move to a pass/archive stage
OFFER SENT
What it means: You’ve sent an offer to the seller (usually through the agent).
Your role:
- Follow up with the agent to check on the seller’s response
- Be ready to negotiate
- If the seller accepts → move to Under Contract
- If the seller declines → negotiate or move on
UNDER CONTRACT
What it means: The seller accepted your offer and a contract is signed.
Your role:
- Work with your title company to handle closing
- Line up your buyer or funding (if wholesaling)
- Handle inspections, due diligence, and any contingencies
- When everything is done → move to Closed
CLOSED
What it means: The deal is done. You made money.
Your role: Celebrate. Then thank the agent — they’re more likely to bring you more deals if you maintain a good relationship.
Working with Properties from Agents
One Agent, Multiple Properties
Sometimes one agent will send you multiple properties over time. Here’s how to handle it:
- Each property gets its own opportunity in the Agent Inventory pipeline
- The agent stays in the Agent Outreach pipeline under their grade (A/B/C)
- You can track which agent brought which property by looking at the opportunity details
Keeping the Agent Relationship Going
Even while you’re working a deal with an agent, the AI continues to follow up with them on the regular schedule (bi-weekly for Grade A/B, monthly for Grade C). This means they might bring you more properties while you’re still working the first one.
Tip: When you close a deal from an agent, let them know it went well. A quick “Hey, we closed on that property you sent. Thanks!” goes a long way. Happy agents bring more deals.
